Privacy notice

Last updated 5 November 2026. This notice explains what personal information Trivas Media collects, how we use it, and your rights.

Who we are

Trivas Media is a business based in the United Kingdom. For the personal information described in this notice, we decide how and why it's used, which makes us the controller. You can contact us about anything in this notice at hello@trivas.media.

When we handle personal information on a client's behalf, for example in their analytics or website content, the client is the controller and we follow their instructions. Our terms of business explain how we handle that information.

What we collect

  • When you contact us: your name, email address, organisation, website and anything you tell us, through our contact form or by email.
  • When you submit a press release: your contact details, media contact details, the article, images and links you send us through our submission form.
  • When you're a client: contact and billing details, project information, and anything you give us access to so we can do the work.
  • Brand and affiliate partners: work contact details, and programme and sales information from affiliate networks.
  • Testimonials: feedback you give us about our work, with your name, organisation and role, which we may publish.
  • Email updates: your name and email address, if you sign up.
  • Website visitors: our hosting provider keeps basic server logs, such as IP addresses and the pages requested, to keep the site secure.

We'll update this list before we start using a new provider. We may also share information with professional advisers, such as our accountant, or where the law requires it. We don't sell personal information.

International transfers

Some of these providers process information outside the UK, mainly in the United States and the European Economic Area. Where they do, we rely on the safeguards UK data protection law requires, such as UK adequacy regulations or approved contract clauses.

Press releases

Once a press release is distributed, independent sites republish it, and we can't edit or withdraw it. That includes any media contact details published in the release, so please only include contact details that you're happy to make public.

How long we keep it

  • Enquiries that don't lead to work: up to two years.
  • Client records, contracts and invoices: six years after the work ends, as required for tax and accounting.
  • Press release materials: while we deliver the release, then with the client's records.
  • Email updates: until you unsubscribe.

Cookies

This website doesn't use analytics, advertising or tracking cookies.

Our pricing pages remember whether you chose pounds or dollars for the rest of your visit, using your browser's session storage. Nothing is sent to us, and it's cleared when you close the tab. To show prices in the right currency to begin with, our hosting provider, Netlify, uses your approximate country, worked out from your IP address, when it serves the page. We don't store it.

We use Google Search Console and Bing Webmaster Tools to see how the site appears in search results. They report searches and clicks as totals, add nothing to this website and don't tell us who you are.

Our press release submission page loads a form from Tally, which may use cookies needed for the form to work.

Some pages link to brands through affiliate links. When you click one, our affiliate network, Impact, may set cookies on the brand's website to record that you came from us, so we can be paid a commission if you buy. Those cookies are set on the brand's site, not ours, and the brand's own privacy notice covers them.

Your rights

You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on consent, you can withdraw it at any time.

To use any of these rights, email hello@trivas.media. We'll reply within one month.

Complaints

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
